# At what GMV or order-volume level does QuickBooks actually stop being enough for a Shopify brand, and what specifically breaks first?

## Short answer

QuickBooks Online has no gross merchandise value (GMV) or order-volume ceiling: Intuit's usage limits cap users, accounts, classes, locations and sales channels, never orders or revenue ([QuickBooks Help](https://quickbooks.intuit.com/learn-support/en-us/help-article/intuit-subscriptions/learn-usage-limits-quickbooks-online/L6THMltE4_US_en_US), October 2026). Structure breaks first, because a second legal entity needs "its own separate paid subscription" and each company's data "remains completely separate" ([Intuit's company-file article](https://quickbooks.intuit.com/learn-support/en-us/help-article/account-management/create-add-another-company-file-quickbooks-online/L1WEnRQs1_US_en_US), October 2026).

- **Order or revenue cap:** None published on any plan. Intuit caps users, accounts, classes and locations, custom fields and connected sales channels by plan; no published limit covers orders, transactions or revenue (October 2026). ([Intuit, Learn about usage limits](https://quickbooks.intuit.com/learn-support/en-us/help-article/intuit-subscriptions/learn-usage-limits-quickbooks-online/L6THMltE4_US_en_US))
- **Classes and locations on Plus:** 40 combined; unlimited on Advanced. QuickBooks Online Advanced lists at $340 a month with 25 users, and it also lifts the 250-account cap of the plans below it (October 2026). ([Intuit, Learn about usage limits](https://quickbooks.intuit.com/learn-support/en-us/help-article/intuit-subscriptions/learn-usage-limits-quickbooks-online/L6THMltE4_US_en_US); [Intuit, QuickBooks Online Pricing and Free Trial](https://quickbooks.intuit.com/pricing/))
- **Settings you can't undo:** Multicurrency and the costing method. "Once Multicurrency is on, you can no longer turn it off", and the inventory costing method "can't be changed later" (Intuit, October 2026). ([Intuit, Set up and use Multicurrency in QuickBooks Online](https://quickbooks.intuit.com/learn-support/en-us/help-article/multicurrency/learn-multicurrency-quickbooks-online/L5krkKQi8_US_en_US); [Intuit, Inventory valuation methods for cost accounting](https://quickbooks.intuit.com/learn-support/en-us/help-article/inventory-management/fifo-used-inventory-cost-accounting/L1x3hkunE_US_en_US))
- **Largest published A2X plan:** 250,000 orders a month on A2X. A2X lists plans from US$29 a month for 200 orders to US$1,499 for 250,000, with custom pricing above, posting summaries to QuickBooks Online or Xero (October 2026). ([A2X, Pricing For A2X For Shopify](https://www.a2xaccounting.com/shopify/pricing); [A2X Software Limited, A2X QuickBooks (QBO) and Xero on the Shopify App Store](https://apps.shopify.com/a2x))

## Deploi's call

QuickBooks breaks on structure before it breaks on volume. Leave QuickBooks Online when a second legal entity has to be consolidated. Until then, fix volume with a summary-posting connector and dimensions with Advanced, because neither needs a new ledger. Our multi-entity close record scores a second entity BUY and one entity in several currencies WAIT, and our sync record scores the connector BUY (Deploi verdicts, October 2026).

**WAIT: Stay on QuickBooks Online while**

- You run one legal entity, even across several currencies, because a single-entity ledger books the exchange difference ([our multi-entity close record](https://deploi.ca/shopify/build-vs-buy/multi-entity-multi-currency-consolidated-close), October 2026).
- Order volume is the pain. A summary-posting connector fixes it without a new ledger ([our QuickBooks and Xero sync record](https://deploi.ca/shopify/build-vs-buy/quickbooks-xero-sync), October 2026).
- The only caps you hit are QuickBooks Online Plus's 40 classes and locations or 250 accounts. Advanced lifts both ([Intuit](https://quickbooks.intuit.com/learn-support/en-us/help-article/intuit-subscriptions/learn-usage-limits-quickbooks-online/L6THMltE4_US_en_US), October 2026) for $340 a month ([Intuit pricing](https://quickbooks.intuit.com/pricing/), October 2026).

**BUY: Buy a multi-entity ledger when**

- A second legal entity has to be consolidated with the first, which takes an enterprise resource planning (ERP) multi-entity module fed by one connector per store.
- Intercompany entries and eliminations live in a spreadsheet at every close, because QuickBooks Online keeps each company's data separate ([Intuit](https://quickbooks.intuit.com/learn-support/en-us/help-article/account-management/create-add-another-company-file-quickbooks-online/L1WEnRQs1_US_en_US), October 2026).
- Intuit Enterprise Suite, which generates eliminations at the transaction level ([Intuit](https://erp.intuit.com/blog/product-update/spring-2026-intuit-enterprise-suite-release-notes/), May 2026), belongs on the shortlist before NetSuite.

## Does QuickBooks Online cap orders or revenue on any plan?

QuickBooks Online caps no orders, transactions or revenue on any plan, so no gross merchandise value (GMV) figure marks the point where it stops being enough. Intuit's usage page limits users, accounts, classes and locations, custom fields and connected sales channels instead ([Intuit](https://quickbooks.intuit.com/learn-support/en-us/help-article/intuit-subscriptions/learn-usage-limits-quickbooks-online/L6THMltE4_US_en_US), October 2026).

**QuickBooks Online's usage limits cap users, accounts, dimensions, custom fields and sales channels, and none caps orders or revenue**

| Usage limit | Simple Start | Essentials | Plus | Advanced |
| --- | --- | --- | --- | --- |
| Billable users | 1 | 3 | 5 | 25 |
| Chart of accounts | 250 | 250 | 250 | Unlimited |
| Classes and locations, combined | Not available | Not available | 40 | Unlimited |
| Custom fields per transaction | 1 | 4 | 4 | 12 |
| Sales channels connected | 1 | 3 | Unlimited | Unlimited |
| Orders, transactions or revenue | No limit published | No limit published | No limit published | No limit published |

The sales-channel row counts stores connected through QuickBooks Commerce, Intuit's in-app connection for Amazon, eBay and Shopify ([Intuit](https://quickbooks.intuit.com/quickbooks-commerce/), October 2026). At any limit, Intuit's advice is "You can either upgrade your subscription, or reduce your usage." So the question of the GMV at which QuickBooks breaks has no answer in Intuit's documentation, because Intuit never wrote a ceiling in those units.

## What does order volume change in a QuickBooks Online ledger?

Order volume changes how Shopify sales reach a QuickBooks Online ledger, not whether the ledger copes, so the real order-volume decision is per-sale or summary posting. Intuit's own Shopify connector imports each sale as a "Payment Received" transaction, and confirming one creates a sales receipt and a fee expense ([Intuit](https://quickbooks.intuit.com/learn-support/en-us/help-article/manage-integrations/connect-shopify-quickbooks-online/L1Xv7ZCFB_US_en_US), October 2026). It imports history from "up to one year ago". Business-to-business (B2B) orders arrive as invoices, which [the answer on B2B net-terms invoices in QuickBooks](https://deploi.ca/shopify/faq/b2b-net-terms-invoices-quickbooks-netsuite-export) maps in detail.

Summary posting is the alternative. A2X (an accounting sync app) says each Shopify transaction "is categorized into accurate summaries that reconcile perfectly with deposits in your accounting software" ([A2X's App Store listing](https://apps.shopify.com/a2x), October 2026). Its plans run from US$29 a month for 200 orders to US$1,499 for 250,000, with custom pricing above ([A2X](https://www.a2xaccounting.com/shopify/pricing), October 2026). That top plan is three million orders a year into QuickBooks Online or Xero (Deploi arithmetic). [Our QuickBooks and Xero sync record](https://deploi.ca/shopify/build-vs-buy/quickbooks-xero-sync) scores the connector BUY and says per-order posting at scale bloats either ledger (October 2026). Whether Xero suits the same stage better is [a separate comparison of Xero and QuickBooks Online](https://deploi.ca/shopify/faq/xero-vs-quickbooks-same-revenue-stage).

## Which structural limits break QuickBooks Online first?

Four structural limits break QuickBooks Online before order volume does, and none is measured in revenue, so each can hit an $8M brand and spare an $80M one.

1. **A second legal entity.** Each QuickBooks Online company "requires its own separate paid subscription", and the companies' data "remains completely separate" ([Intuit](https://quickbooks.intuit.com/learn-support/en-us/help-article/account-management/create-add-another-company-file-quickbooks-online/L1WEnRQs1_US_en_US), October 2026). So consolidation happens outside QuickBooks Online.
1. **A second currency.** Multicurrency runs on Essentials, Plus and Advanced, and "Once Multicurrency is on, you can no longer turn it off." The home currency locks too. QuickBooks Bill Pay and QuickBooks Payments "aren't compatible with Multicurrency", and Multicurrency "won’t work" with QuickBooks Commerce connected ([Intuit](https://quickbooks.intuit.com/learn-support/en-us/help-article/multicurrency/learn-multicurrency-quickbooks-online/L5krkKQi8_US_en_US), October 2026).
1. **An inventory costing method.** First in, first out (FIFO) or moving average cost (MAC) "can't be changed later". Create an inventory item before choosing, and "QuickBooks Online automatically defaults to FIFO" ([Intuit](https://quickbooks.intuit.com/learn-support/en-us/help-article/inventory-management/fifo-used-inventory-cost-accounting/L1x3hkunE_US_en_US), October 2026).
1. **Dimensions.** QuickBooks Online Plus allows 40 combined classes and locations ([Intuit](https://quickbooks.intuit.com/learn-support/en-us/help-article/intuit-subscriptions/learn-usage-limits-quickbooks-online/L6THMltE4_US_en_US), October 2026). A brand that cuts its profit and loss by channel, brand, warehouse and region can use them up, and Advanced makes them unlimited.

Only the first forces a new ledger. [Our multi-entity close record](https://deploi.ca/shopify/build-vs-buy/multi-entity-multi-currency-consolidated-close) agrees: it scores one entity selling in several currencies WAIT, because a single-entity ledger books the exchange difference (October 2026).

## Does QuickBooks Online handle revenue recognition?

QuickBooks Online handles revenue recognition on Advanced, so a migration case built on the old line that QuickBooks can't defer revenue is out of date. Intuit sells "automated revenue recognition only in QuickBooks Online Advanced version" ([Intuit](https://quickbooks.intuit.com/online/advanced/revenue-recognition/), October 2026). Its help article says the feature "lets you record a payment for a product or service you’ll deliver in the future and recognize the revenue over time" ([Intuit](https://quickbooks.intuit.com/learn-support/en-us/help-article/accounting-method/understand-revenue-recognition-quickbooks-online/L9vA8v2qt_US_en_US), October 2026).

That article explains the Accounting Standards Codification (ASC) 606 standard, but Intuit doesn't claim the feature handles every arrangement it covers. So ask your auditor about bundles, subscriptions and multi-element contracts before the ledger question goes to a board.

## What sits between QuickBooks Online and an ERP?

Intuit Enterprise Suite sits between QuickBooks Online and a full enterprise resource planning (ERP) system, sold by the vendor a QuickBooks brand already uses. Its May 2026 release notes announced eliminations generated "automatically at the transaction level" from June, and multi-level entity hierarchy "launching in beta in June" ([Intuit](https://erp.intuit.com/blog/product-update/spring-2026-intuit-enterprise-suite-release-notes/), May 2026). A QuickBooks Online company's "chart of accounts, vendors, classes, transaction history" carry over in the upgrade ([Intuit](https://erp.intuit.com/upgrade-quickbooks-online/), October 2026). Intuit's own Shopify connector lists Intuit Enterprise Suite under "Works with" ([Intuit's App Store listing](https://apps.shopify.com/qbconnector), October 2026).

Intuit publishes no price; it offers to "craft a product bundle and agreement" ([Intuit](https://erp.intuit.com/pricing/), October 2026). It also pitches the suite at "multi-entity organizations needing heavy project costing for construction or service industries" ([Intuit](https://quickbooks.intuit.com/pricing/), October 2026), so ask how it handles a product catalog. QuickBooks Desktop Enterprise is Intuit's other step, and [whether Enterprise bridges a brand to NetSuite or Dynamics](https://deploi.ca/shopify/faq/quickbooks-enterprise-bridge-to-netsuite-or-dynamics) turns on inventory against entities. For the bigger move, read [whether NetSuite is overkill at $20M to $30M](https://deploi.ca/shopify/faq/netsuite-overkill-vs-quickbooks-at-20m-30m-gmv); [our NetSuite integration record](https://deploi.ca/shopify/build-vs-buy/netsuite-integration) scores a Shopify to NetSuite integration DEPENDS (October 2026).

## How do you check whether your brand has outgrown QuickBooks Online?

You check whether your brand has outgrown QuickBooks Online by counting structure, not revenue, and four checks in the admin settle it.

1. **Check the published limits.** Settings, then Account and settings, then Usage shows your counts against Intuit's limits ([Intuit](https://quickbooks.intuit.com/learn-support/en-us/help-article/intuit-subscriptions/learn-usage-limits-quickbooks-online/L6THMltE4_US_en_US), October 2026).
1. **Check the settings you can't undo.** Is Multicurrency on, which costing method is set, and did anyone choose it?
1. **Check the posting design.** Per-sale posting makes reconciliation a per-order job, and a summary connector fixes that without a new ledger.
1. **Count the legal entities you consolidate.** One is a subscription question. Two or more is a product question.

Checks one to three end in an upgrade, a setting or an app. Only the fourth ends in leaving.

> **When not to leave QuickBooks Online**
> - **Because the close is slow.** Measure what is slow first, because an unowned process migrates intact.
> - **Because order volume is high.** Summary posting already handles it: A2X (an accounting sync app) publishes plan prices up to 250,000 orders a month ([A2X](https://www.a2xaccounting.com/shopify/pricing), October 2026).
> - **Because a peer moved.** Their entity and currency count isn't yours.
> - **In the same year as a replatform.** When a number is wrong afterwards, nobody can say which project caused it.
> - **Before pricing Advanced.** It lifts the account and class caps and covers 25 users for $340 a month ([Intuit](https://quickbooks.intuit.com/pricing/), October 2026).

## Deploi's point of view

**Where we disagree.** The category answers this with a revenue number because a number sells an assessment. Intuit's published limits are the real ceilings, and moving from Plus to Advanced lifts the two that growing brands hit: accounts, and classes and locations. In our judgment, the expensive failures are not brands that stayed too long. They are brands that turned on multicurrency or accepted the default costing method without knowing either was irreversible, then paid for it at a year end.

**What we tell clients to do first.** Open the Usage tab under Settings, then Account and settings. It takes a minute, it costs nothing, and in our experience the count it shows moves the discussion from revenue to structure.

**What we refuse to quote.** A revenue or order-count figure at which QuickBooks stops being enough. Intuit's limits cover users, accounts, classes and locations, custom fields and sales channels, and none is in those units. We also refuse to quote a price for Intuit Enterprise Suite, because Intuit publishes none.

**What our decision records don't cover.** Our QuickBooks and Xero sync record assumes the ledger is chosen and asks how to connect it. Our multi-entity close record assumes the second entity already exists. This answer sits upstream of both: the published ceilings, the settings you can't undo, and Intuit's own middle tier.

## When this answer changes

- Intuit adds a usage limit on orders, transactions or revenue, or changes the user, account or class and location caps.
- Intuit moves automated revenue recognition below Advanced, or changes Advanced's price.
- Intuit's Shopify connector adds summary posting, or A2X changes its order-volume plans.
- Intuit publishes a price for Intuit Enterprise Suite, or takes multi-level entity hierarchy out of beta.
- Your group adds a second legal entity that has to be consolidated.
