# How do vendor/supplier records and purchase-order history migrate as data objects during a platform switch, given Shopify has no native supplier-management model?

## Short answer

Supplier records reach Shopify only by hand, and purchase order history doesn't reach it at all. Shopify now has native suppliers but no supplier import, and "Historical purchase orders can't be imported into Shopify" ([Shopify Help Center](https://help.shopify.com/en/manual/inventory-and-locations/transitioning-from-stocky), October 2026). Rekey suppliers, or load them into the app or enterprise resource planning (ERP) system that owns purchasing, and archive the history.

- **Historical purchase orders:** Can't be imported into Shopify. Shopify's spreadsheet upload only adds product line items to a new draft purchase order: no past statuses, received quantities or supplier links (Shopify Help Center, October 2026) ([Shopify Help Center, Migrating from Stocky to Shopify inventory management](https://help.shopify.com/en/manual/inventory-and-locations/transitioning-from-stocky))
- **Lightspeed X-Series supplier list:** No export, except on request. Lightspeed says "it is not possible to export your supplier list" and sends one through its Support Team on request (October 2026) ([Lightspeed X-Series support, Can I export my supplier list?](https://x-series-support.lightspeedhq.com/hc/en-us/articles/25533993996443-Can-I-export-my-supplier-list); [Lightspeed X-Series support, Managing suppliers](https://x-series-support.lightspeedhq.com/hc/en-us/articles/25534088679835-Managing-suppliers))
- **Stocky's read-only export:** Until at least 29 November 2026. At least 90 days after 31 August 2026, and suppliers can't be exported from Stocky (Shopify Help Center, October 2026). The end date is Deploi arithmetic from the figures above ([Shopify Help Center, Migrating from Stocky to Shopify inventory management](https://help.shopify.com/en/manual/inventory-and-locations/transitioning-from-stocky))
- **Purchase order data out of Shopify:** Reports and export since 6 October 2026. Shopify Analytics reports purchase order costs, transfers and open orders, and exports them, so history created after cutover stays reachable (Shopify changelog, October 2026) ([Shopify changelog, Analyze purchase orders in Shopify Analytics](https://changelog.shopify.com/posts/analyze-purchase-orders-in-shopify-analytics))

## Deploi's call

Supplier and purchase order data stays genuinely manual in a 2026 Lightspeed migration, and pretending otherwise is how the estimate breaks. We plan it as a rekeying task with a named buyer and a counted scope, not as a data-engineering task, because no endpoint accepts supplier or purchase order data.

**WAIT: Rekey suppliers into Shopify and archive history while**

- One buyer runs purchasing, the profile [our purchase orders record](https://deploi.ca/shopify/build-vs-buy/purchase-orders-and-receiving) scores WAIT on native (October 2026).
- History answers audit, tax and cost questions, which an archive covers.
- The supplier list is short enough to create by hand from the purchase order screen.

**BUY: Load suppliers and history into an app or ERP when**

- The app or enterprise resource planning (ERP) system that will own purchasing has its own importer.
- Its forecasting reads purchase history, so the years you load earn their keep.
- Open orders and supplier records can move in one cutover window, as the record's BUY steps advise.

## Does Shopify have a supplier model to migrate into?

Shopify has a native supplier model, but nothing loads supplier data into it in bulk. Shopify's suppliers are "the businesses that you source products from and place purchase orders with", and each one is created from a purchase order's supplier menu ([Shopify Help Center](https://help.shopify.com/en/manual/inventory-and-locations/purchase-orders/managing-suppliers), October 2026). A Shopify supplier keeps contact information, an address and recent purchase order line items. Shopify's supplier page keeps payment terms and currencies on each purchase order instead ([Shopify Help Center](https://help.shopify.com/en/manual/inventory-and-locations/purchase-orders/managing-suppliers)).

So Shopify isn't missing a supplier model; it's missing a way to load one. [How Lightspeed's purchasing maps onto Shopify's native tools](https://deploi.ca/shopify/faq/lightspeed-vendor-purchase-order-mapping) compares the features themselves.

## What can each supplier and purchase order object do on the way out and in?

Each supplier and purchase order record leaves the old platform in its own format, because Shopify imports none of them. Suppliers and open orders are recreated in Shopify, and history doesn't reach it at all. Only product fields ride the product import. Lightspeed Retail X-Series shows the pattern, and Stocky's exports apply to stores leaving Shopify's old app.

**Supplier and purchase order records are recreated in Shopify or not at all; product fields ride the product import**

| Object | Out of Lightspeed X-Series or Stocky | Into Shopify | Verdict |
| --- | --- | --- | --- |
| Supplier record | Lightspeed exports the list only on request; Stocky can't export suppliers | No supplier import | Rekey, sized by supplier count |
| Default supplier, code and price per product | supplier_name, supplier_code and supply_price columns in the product export | supplier_name maps to the single Vendor field and supply_price to Cost per item | Codes and extra suppliers go to variant metafields |
| Purchase order history | One spreadsheet per stock order, with ordered and received quantities and costs | "Historical purchase orders can't be imported into Shopify" | Archive |
| Open purchase orders | Exported like history | Recreated for the remaining quantities only | Receive before cutover, or rekey |
| Cost history | Stocky exports "Your historical cost data" | One static cost per item | Today's cost moves; history archives |

## Why can't a script migrate suppliers and purchase orders?

A script can't migrate suppliers or purchase orders into Shopify, because no application programming interface (API) writes them. Since API version 2026-10, apps can read purchase orders and their line items, but nothing creates one ([shopify.dev](https://shopify.dev/docs/api/admin-graphql/latest/queries/inventoryPurchaseOrders), October 2026). Shopify's Stocky guide still says "purchase order APIs aren't generally available" ([Shopify Help Center](https://help.shopify.com/en/manual/inventory-and-locations/transitioning-from-stocky), October 2026).

So the usual toolchain stops short. Shopify's own spreadsheet upload "only adds product line items to a new draft purchase order" ([Shopify Help Center](https://help.shopify.com/en/manual/inventory-and-locations/transitioning-from-stocky)). Matrixify, a bulk import app, documents no purchase order or supplier sheet ([Matrixify](https://matrixify.app/documentation/), October 2026). If a proposal quotes supplier or purchase order migration as a scripted task, ask which endpoint it writes to. There isn't one.

## In what order should the extraction run?

The extraction runs destination first, because the destination sets the format of every file. Extracting before that decision means extracting twice.

1. **Decide the destination:** Shopify native, a purchasing app, or an enterprise resource planning (ERP) system.
1. **Pull the supplier list and the product export.** Lightspeed X-Series sends the supplier list on request, and the product export carries each default supplier's code and price ([Lightspeed](https://x-series-support.lightspeedhq.com/hc/en-us/articles/25534088679835-Managing-suppliers), October 2026). The map is the asset. The contact list is a phone book.
1. **Export completed purchase orders** to storage that isn't a point of sale (POS) vendor.
1. **Export from Stocky now if you used it.** Read-only access lasts "at least 90 days after" 31 August 2026 ([Shopify Help Center](https://help.shopify.com/en/manual/inventory-and-locations/transitioning-from-stocky), October 2026), which means at least until 29 November 2026 (Deploi arithmetic).
1. **Receive open orders before cutover where you can,** and recreate the remaining quantities with the buyer who raised them. If an open order feeds backorders on a discontinued product, see [why the backordered variant must still migrate](https://deploi.ca/shopify/faq/discontinued-products-open-backorders-migration).
1. **Create suppliers in the destination,** by hand in Shopify native.
1. **Reconcile once.** The head buyer signs the supplier and open order counts.

## Where should purchase order history live after cutover?

Purchase order history lives best in an archive, because Shopify can't import it and an archive answers the audit, tax and cost questions history gets. Three options, in the order we usually recommend them:

- **Cold archive.** Spreadsheets in your document store, indexed by supplier and year, with a named owner and a retention period. Cheapest, and enough for almost everyone.
- **Metafields on the variant.** Shopify's guide suggests fields such as `supplier.supplier_sku` and `supplier.lead_time_days`, which hold reference data "independent of purchase order ordering and receiving calculations" ([Shopify Help Center](https://help.shopify.com/en/manual/inventory-and-locations/transitioning-from-stocky), October 2026). They survive the app you haven't chosen yet.
- **The system that will own purchasing.** Worth it only when its forecast reads the history. Get its export format in writing first: [our inventory system record](https://deploi.ca/shopify/build-vs-buy/inventory-management-system) warns that leaving an app means "re-keying suppliers, purchase-order history and reorder points somewhere else" (checked October 2026).

After cutover, Shopify's purchase order reports export the new history ([Shopify changelog](https://changelog.shopify.com/posts/analyze-purchase-orders-in-shopify-analytics), October 2026), so the archive only holds the years before.

## When should supplier and purchase order data not migrate at all?

Supplier and purchase order data shouldn't migrate at all when purchasing is moving to an enterprise resource planning (ERP) system anyway, when the cost history is wrong, or when the supplier list is stale.

> **When not to do this**
> - **When purchasing is moving to an ERP anyway.** Load the data there once, because loading it into Shopify first means loading it twice.
> - **When the cost history is wrong.** Migrating unreliable landed costs launders them into a new system with a clean audit trail. Fix them or drop them.
> - **When the supplier list is stale.** A migration is a good moment to stop rekeying sixty suppliers you last bought from in 2021.

## Deploi's point of view

**Where we disagree.** Migration scoping usually treats history as the hard part and master data as the easy part, because history is bigger. Here it inverts. History has a clean answer, which is to archive it. Master data is the part with no mechanism, and it is the part the business notices on day one when a buyer can't find a supplier.

**What we refuse to quote.** Scripted supplier or purchase order migration into Shopify native. There is no API surface to write to, so any fixed-price line item for it is priced against work that can't be performed. We quote the extraction, the archive design and the rekeying, and we say which is which.

**What this page adds.** The object-by-object verdict on the way out and in, Stocky's read-only window to at least 29 November 2026, and the evidence that no API writes suppliers or purchase orders, which makes this a rekeying project rather than a scripted one.

## When this answer changes

- Shopify adds write access to purchase orders or suppliers, or a supplier query, to the Admin API.
- Shopify adds a supplier import or a historical purchase order import to the admin.
- Lightspeed adds a self-serve supplier export to Retail X-Series.
- Shopify ends Stocky's read-only export window, or extends it past 29 November 2026.
- Matrixify or another bulk import app adds a purchase order or supplier sheet.
