Lightspeed

How do serialized or lot-tracked inventory items (common in Lightspeed retail categories like jewelry or bikes) migrate to Shopify's inventory model?

Short answer

Serialized Lightspeed items move to Shopify as an archive plus a lookup, not as inventory, because Shopify's inventory item has no serial or lot field (Shopify developer docs, October 2026). Both Lightspeed Retail series export serial numbers, and the X-Series file lists outlets and sale dates (Lightspeed X-Series support, October 2026). Lot-tracked stock needs a batch app or upstream system.

Deploi’s call

Serial tracking doesn't need to migrate in the form it had in Lightspeed. We split the requirement into warranty lookup and stock identity first, because lookup is cheap on Shopify and stock identity is an enterprise resource planning (ERP) conversation.

BuyMove serialized stock to Shopify POS, with an archive, when

  • Serials serve warranty and after-sales lookup, which an archive plus an order-level app covers.
  • Shopify will hold products, inventory and customers, the case our POS vendor record scores BUY for Shopify point of sale (POS) (October 2026).
  • Floor staff could retrain in a season, the record's test for retailers leaving Lightspeed.

CustomizeKeep serial identity outside Shopify while

  • Staff must know which physical unit sits where: an enterprise resource planning (ERP) or warehouse system holds the serials, and Shopify holds the quantity.
  • Repair work orders run on serials, as Lightspeed R-Series links them (Lightspeed, October 2026).
  • Lightspeed-dependent floor workflows cost more to retrain than a sync costs to keep, the record's CUSTOMIZE lane for keeping Lightspeed.

How do Lightspeed's two Retail series hold serial numbers?

Both Lightspeed Retail series hold a serial number as stock, so a serialized unit is received, held and sold as itself. Lightspeed keeps each serial "unique to each individual unit" and separate from stock keeping unit (SKU) codes (Lightspeed, October 2026). How Lightspeed's purchasing maps onto Shopify covers the rest of the move, and lots follow how lot and expiry tracking migrates.

  • R-Series: check Serialized on an item, then enter serials on its Serial #s tab or "as part of receiving the purchase order". At the register, staff pick one from the "Scan or type a serial number" dropdown. Inventory > Serial Numbers lists every product and serial and exports to a spreadsheet (Lightspeed, October 2026), and each receipt is dated automatically (Lightspeed).
  • X-Series: serials are pre-recorded per outlet "to keep track of what is currently in stock", and cashiers "will be prompted to enter the serial number to confirm it's available to sell". The export "includes serial numbers, product names, SKUs, associated outlets, and sale dates" (Lightspeed, October 2026).

Why isn't Shopify's serial tracking an equivalent?

Shopify's serial tracking isn't an equivalent, because no field on a Shopify inventory item holds a serial number (Shopify developer docs, October 2026). Two 2026 options record serials somewhere else:

  • Transfer metafields, since 30 June 2026, can carry "lot numbers, serial numbers" on an incoming shipment, to "reconcile received units against what was shipped" (Shopify changelog, June 2026). That records the delivery, not the unit on the shelf.
  • Order-level apps attach serials at the sale. Serializer, from Galmis, adds "serial numbers, warranty or any custom item details" to completed orders or the point of sale (POS) cart. It costs $9 a month plus $0.25 per tracked item after 50 free items a month, or $19 unlimited, and rates 4.9 from 6 reviews (Shopify App Store, October 2026).

So the direction reverses. In Lightspeed the serial can arrive with the stock and leave with the sale. In Shopify it's written at the sale, which serves warranty lookup but can't tell staff which of four identical frames carries the number a customer asks about.

In what order should the serial decision be made?

The serial decision starts by separating two uses, because warranty lookup and stock identity need different systems.

  1. Separate the two uses. Warranty and after-sales lookup is one. Knowing which physical unit is where is the other.
  2. If you need lookup only, export the Lightspeed serial file and the sales it points to, archive them, and adopt an order-level serial app going forward. Document the cutover date, because the first warranty claim on the wrong side of it is a customer-service conversation either way.
  3. If you need stock-side identity, Shopify isn't the system of record for that stock. It goes to an enterprise resource planning (ERP) or warehouse management system (WMS), and Shopify holds a quantity, the same conclusion the lot and expiry answer reaches by another route.
  4. For narrow catalogs, make each serialized unit its own variant or product. That suits one-of-a-kind fine jewelry or used bikes, not a hundred identical frames, because you inherit a hundred variants nobody can merchandise.

Where should the exported serial history live?

The exported serial history lives in an archive with a named owner, because it's the only complete record of which unit went to which customer before cutover. Index it by serial number and make it searchable by whoever answers warranty calls. Product or order metafields can surface the last-known serial where staff work, but the archive is the record.

Shopify can't rebuild that history after cutover: its receiving screen accepts, rejects or cancels each item, with no serial entry per item (Shopify Help Center, October 2026), so the export is your one chance. Keep Lightspeed read-only until the archive is checked; the Lightspeed cutover plan keeps it through one month-end close anyway.

When should serial tracking not be rebuilt on Shopify?

Serial tracking shouldn't be rebuilt on Shopify when the manufacturer registers serials, staff read serials off the item, the catalog is large and uniform, or it's cutover week.

Deploi’s point of view

Our own position, from building on Shopify. Kept apart from the sourced facts above.

Where we disagree
The obvious advice is variant-per-unit, because it works in a demo. It works for genuinely unique goods and fails silently for everything else, by turning a merchandisable catalog into a ledger. We would rather lose serial-level stock visibility in Shopify than lose the collection page.
What we tell clients to check first
Ask the person who actually uses serials, not the person who configured them. If the answer is "a customer calls with a number and I need to know when we sold it and to whom", the exported file plus an order-level app covers it.
What this page adds
That both Lightspeed Retail series export serials as spreadsheets, that Shopify records serials only on incoming transfers or, through apps, at the sale, and that the practical migration is an archive plus a lookup, not a field mapping.

When this answer changes

  • Shopify adds a serial number field to inventory items, or serial capture to receiving or Shopify POS.
  • Shopify's physical inventory preview becomes stable with unit-level records.
  • Serializer changes its $9 and $19 plans or its $0.25 per-item charge.
  • Lightspeed changes what its serial number export includes.
  • Deploi's Shopify POS vs. Lightspeed Retail record changes its BUY verdict.
